Getting started with Business Connect

If you’re registering your business or organisation, here are some of the things you can do to ensure the process runs smoothly for you.

Registering with Business Connect

To register with Business Connect you will need:

  • access to the New Zealand Business Number (NZBN) account for your business or organisation
  • Authority over your business or organisation
  • A RealMe login

Step 1: Create your profile

  1. Login to Business Connect(external link)
  2. Enter your RealMe login details. This is the RealMe account you’ll use each time you want to access Business Connect. If you have an existing RealMe login, you can use it here. You can also create a new one.
  3. Create your Business Connect profile by entering your contact details – name, phone number and email address. We use these details if we need to contact you about a registration or application made through Business Connect.
  4. Verify your email address. After you enter your email address, click “verify email” and we’ll send a verification code to your email address. Enter the code into the box and click “Confirm and continue”

Step 2: Verify your NZBN and connect your business or organisation to your Business Connect profile

We need to connect to you NZBN account so we can verify your access to your business or organisation. We’ll ask you to login to your NZBN account with RealMe. This is a necessary step and is required to verify you are authorised to act on behalf of your business or organisation, as well as protect the security of your NZBN account.

Please note: you must log into your NZBN account using the RealMe login associated with that business or organisation.

  1. Click the “Verify with NZBN” button and a new RealMe login screen will appear.
  2. Login using the RealMe login you use to access the NZBN.
  3. When Business Connect successfully connects to your NZBN account, you’ll see a “Success” confirmation message.
  4. To complete the process, please click on the “Continue” button.

If you are new Business Connect user, and you see the ‘No businesses to connect’ message during registration, this means you don’t have authority over the business or organisation.

Check you have an NZBN

The New Zealand Business Number (NZBN) is a globally unique identifier, available to every Kiwi business. Whether you’re self-employed, a registered charity, association or major corporation, there’s an NZBN for you.

An NZBN is allocated to companies, incorporated societies and government agencies (local and central). If you are another type of business or organisation, for example you’re sole trader, you may or may not have an NZBN.

To find out if your business or organisation has an NZBN:

  1. Go to nzbn.govt.nz(external link)
  2. Search for your business or organisation by name.
  3. If your business or organisation is displayed, you have an NZBN.

If your business or organisation is not displayed, you’ll need to apply for an NZBN.

To get an NZBN, click on “Get an NZBN” and follow the instructions for getting an NZBN for your type of business or organisation.

Do you have authority?

Having authority means that you have the ability to act on behalf of your business or organisation. This means you can access and edit all information held about the business or organisation on the relevant register, including any information that may be private. It also means you can complete tasks on behalf of the business or organisation, such as apply for government services.

Before you start with Business Connect, it’s worth checking you have authority. To check you have authority, follow these steps:

  1. Login to your nzbn.govt.nz(external link) account
  2. Select ‘Manage authorities’. This will show you which businesses or organisations you have authority over. If you can’t see the business or organisation, you will need to request authority.

The process for getting authority depends on your business or organisation set up. See below for guidance on how to get authority for your type of business or organisation.

How to get authority

If you’re a registered company

  1. Login to your Companies Office online account(external link)
  2. Select “Request authority”. 
    • If you’re a company director, select “I am a director” and follow the onscreen instructions for getting authority.
    • If you’re not a company director, select “I am an authorised person” and follow the onscreen instructions.

If you’re a sole trader, partnership or trust

If you don’t have authority but believe you should, you can apply online. You’ll need a RealMe® account and an NZBN user account to get authority.

  1. Go to nzbn.govt.nz(external link) and select “Login to MyNZBN”
  2. After you log into MyNZBN follow these steps:
    • Search for the business by name or NZBN
    • Select ‘Get access to update these details’
    • Enter the IRD number of the business
      If the business is a sole trader, you’ll need to provide proof of your identity. If the business is a partnership or trust, you’ll need to provide the full name of the partnership or trust.
    • Click on the ‘Submit’ button.

When your authority is confirmed, wait at least 10 minutes before logging back into Business Connect. Go to “Business profiles” and your business should appear on the list of businesses. If the business or organisation is still not visible, click on the “Refresh your NZBN” button to sync with your NZBN account.

If you’re a central or local government agency

  1. Go to nzbn.govt.nz(external link)
  2. Search for your agency by name and open its NZBN record.
  3. Select “Get access to update these details” in the right hand menu and follow the onscreen instructions.
  4. Login with RealMe. You can use an existing RealMe account or create a new one associated with your agency email address.
  5. Create an NZBN User Account (this will be in your name).
  6. Complete and submit the Public Sector Request form by providing your name, position, email address and phone number. These must be your agency work contact details.
  7. Once the form is submitted, NZBN will email you to verify your request.
    Please note, if you’ve provided a non-work email address on the request form, we will need to verify your request with your organisation.
  8. Once your request has been verified, NZBN will send an email to confirm your authority has been activated.

If you’re an incorporated society

  1. Go to the Incorporated Societies Register.(external link)
  2. Find your organisation using the Register search function to go to the View Details page.
  3. Login with RealMe (if not logged in already).
  4. On the ‘View Details’ page, select the “confirm your authority” option underneath the organisation’s name.
  5. Select the option you wish to use to confirm your authority, enter the required details and click the Submit button.

Your authority will be activated instantly, unless you have uploaded a letter of authorisation which can take up to 3 working days to be approved.

If you’re a charitable trust

  1. Go to the Charitable Trusts Register.(external link)
  2. Find your organisation using the Register search function to go to the View Details page.
  3. Login with RealMe (if not logged in already).
  4. On the ‘View Details’ page, select the “confirm your authority” option underneath the organisation’s name.
  5. Select the option you wish to use to confirm your authority, enter the required details and click the Submit button.

Your authority will be activated instantly, unless you have uploaded a letter of authorisation which can take up to 3 working days to be approved.

Creating QR code posters

All businesses and organisations are still being encouraged to create QR posters for use with contact tracing. This will help health authorities to quickly trace any new COVID-19 cases that might occur and keep people safe.

A new self-service process has been developed for all businesses, organisations and other entities to generate and download posters for all their locations.

This new service is being managed directly by the Ministry of Health, and an option for big organisations that need to create QR code posters for a large number of locations. For example local or central governments, schools, or nursing homes.

How to access your posters created using Business Connect

  1. Log into your Business Connect account(external link)
  2. Scroll to your completed applications on your dashboard and use the “Legal name” column to find the business you wish to reprint your posters for.
  3. On the next screen, click on the arrow next to “Poster details” to access your posters, find the location you wish to print a poster for, and select “Download poster”.
  4. Download and print your posters. The QR code posters are best experienced when printed in colour and on A4. Please ensure your printer is set to print on A4.
